Privacy Policy
At Axhilles we want to protect what’s human. That means you should be able to trust the products and services we build, and the way we handle your information.
Who we are
This website is operated by Axhilles Ltd (“Axhilles”, “we”, “us”), of Auckland, New Zealand. We are committed to privacy and we comply with the Privacy Act 2020.
If you have a question about this policy, or want to clarify how we treat your information, please email hello@axhilles.com.
What we collect
Information you give us. Your name, email address, business name, and whatever else you choose to tell us — when you email us, book a Discovery session, use the Chax chat on this site, or otherwise get in touch.
Your conversation with Chax. If you use the chat, we receive a copy of the whole conversation. This is explained in full in the next section, because it is the part people are most often surprised by.
Technical information. Our hosting provider and analytics record things like the pages visited, approximate location, and browser and device type. Your IP address is used for a moment to rate-limit requests so the site is not abused, and we do not store it; our hosting provider may log it as part of running the service.
The Chax chat, in full
Chax is an AI assistant. Three things happen when you use it: your messages are sent to a third-party AI service, a copy of the conversation is emailed to us, and AI is used to summarise it for us.
Read what happens to your conversation
- Your messages are sent to Anthropic, who run the AI model that generates the replies. Anthropic processes that information under its own terms and privacy policy, and outside New Zealand.
- A copy of the conversation is emailed to us, and it may be reviewed by someone on our team. This happens whether or not you give us your name — after five minutes of inactivity, when a conversation reaches its length limit, or as soon as you leave your details.
- We use AI to summarise the conversation for us. If you leave your details, the transcript is sent to the AI model again to produce notes to prepare for a call, including an assessment of whether what you described looks like a good fit for our services. That assessment is an automated impression rather than a decision about you, and a person reads the transcript alongside it. The model is instructed not to copy contact details or sensitive information into the notes.
Because the conversation reaches us and a third-party AI service, please do not paste passwords, payment details, confidential business information, personal information about other people, or anything else you would not want handled this way. If your question needs that context, email us or book a session instead and we will find a suitable channel.
How we use your information
- To reply to you, and to prepare for and run a conversation about your business.
- To arrange and manage Discovery sessions.
- To deliver consulting and advisory services if you engage us.
- To operate, maintain, secure and improve this website.
- To send you occasional emails about Axhilles and its services, where you have agreed to that.
- To meet our legal obligations.
We will not use your information for an unrelated purpose without a lawful basis for doing so. We do not sell your personal information.
Marketing emails
If you agreed to be contacted, we may send you occasional emails with our own writing or news about our services. Every one of them includes a way to unsubscribe, and you can also unsubscribe at any time by replying or emailing hello@axhilles.com. Asking us to stop marketing does not affect our ability to reply to you about something you asked us.
Who else handles your information
We keep the list of service providers as short as possible. These are all of them:
- Anthropic — runs the AI model behind Chax and produces the conversation summary described above. United States.
- Resend — delivers the emails that bring your enquiry and chat transcript to us. United States.
- Vercel — hosts this website and provides its analytics. United States and global edge locations.
- Calendly — handles Discovery session bookings, including the name, email and meeting details you enter. United States.
Each handles information under its own privacy policy and terms. We may also disclose information where the law requires it, or where it is reasonably necessary to protect our rights, security or property.
Cookies and browser storage
This site does not use advertising cookies, and there is no Google Analytics or similar tracking on it. Our analytics does not use cookies at all.
The site stores one small record in your own browser: ax-opener-variant, which remembers which version of the chat greeting you saw so it stays the same while you are on the site. It is cleared when you close the browser.
You can remove it at any time by clearing site data for axhilles.com in your browser settings. Doing so does not stop you using the site.
Information you share during a consulting engagement
If you work with us, you may share information about your organisation, customers, employees, systems, processes, strategy or operations. We treat that as confidential, in accordance with any agreement between us.
Please share commercially sensitive or confidential material through an appropriate channel rather than the chat on this website.
Age
This website and Chax are intended for business users aged 18 or over. We do not knowingly collect information from anyone under 18. If you think a child has given us their information, email us and we will delete it.
Security
We take reasonable steps to protect personal information from loss, misuse, and unauthorised access, modification or disclosure. No internet service can be guaranteed completely secure, and we would rather say so than imply otherwise.
If a privacy breach happens that could cause serious harm, we will notify you and the Office of the Privacy Commissioner, as the Privacy Act 2020 requires.
How long we keep it
Enquiries, chat transcripts and the notes described above arrive as email and stay in our email system, so in practice we hold them until we no longer have a reason to and delete them, or until you ask us to. You can ask at any time.
Analytics data is held by Vercel under its own retention periods, and is not linked to you by name. Our other providers keep information under their own policies.
Your rights
Under the Privacy Act 2020 you can ask us whether we hold personal information about you, ask for a copy of it, ask us to correct it if it is wrong or out of date, and ask us to delete it. Email hello@axhilles.com and we will come back to you.
If you are unhappy with how we have handled your information or your request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Information processed overseas
All four of the providers listed above are based outside New Zealand, so your information is processed overseas. We take reasonable steps to satisfy ourselves that it is handled appropriately, and we keep the number of providers small partly for this reason.
Changes to this policy
We will update this page if the website, our services, or the way we handle information changes. The current version is always the one published here, with the date it was last updated at the top.
